1. Alterations of Itineraries

Changes to your travel date, services, itinerary, or group details (such as ID information) can be made free of charge up to 30 days before departure. If a second modification is required, a service fee of 5% of the deposit will apply. Each modification may lead to a revised quote.

In cases of force majeure—such as changes in traffic, weather, or political conditions—modifications can be made without charge, though Zen Eco Travels reserves the right to adjust the pricing accordingly.

2. Cancellation Policy

If you need to cancel your tour, please submit a written request. The cancellation fee will be based on the date we receive your notice:

• 45+ days before departure: 10% of the full payment per person.
• 45–15 days before departure: 20% of the full payment per person.
• 14–7 days before departure: 50% of the full payment per person.
• 6–0 days before departure: 100% of the full payment per person.

Additional cancellation fees imposed by third-party service providers, such as airlines, hotels, or banks, will be deducted from the refund. No refunds are available for unused services after the trip begins due to early departure, late arrival, or missed tours.

3. Travel Documentation

All clients must hold valid passports and the necessary visas or permits before travel. This is the client’s responsibility, except for the Bhutan travel permit, which will be arranged by Zen Eco Travels. We bear no responsibility for any failure to obtain the required documentation.

4. Health Requirements

Clients are responsible for checking health and safety regulations, including vaccinations, for the regions they plan to visit. Travel to high-altitude destinations such as Bhutan may require a medical certificate stating that the client is fit to travel.

5. Insurance

We highly recommend purchasing comprehensive travel insurance. Zen Eco Travels includes basic travel accident insurance, but it may not cover all eventualities.

6. Complaints and Claims

If you are unsatisfied with any aspect of our service, please notify your tour guide or travel agent immediately. For formal complaints or claims, please submit them in writing within 15 days of your trip's conclusion, along with supporting documents. Zen Eco Travels will not be liable for complaints submitted after this period.

7. Communications

You can reach Zen Eco Travels via our website form, email, phone, or fax. If you do not receive a response within 48 hours regarding a booking or modification request, please contact us directly at [email] or [phone number] to ensure we can assist you promptly.

8. Liability & Responsibility

Zen Eco Travels curates information and bookings from trusted hotels, airlines, and tour operators. However, we are not responsible for errors or inaccuracies from third-party providers.

We will not be held liable for losses, injuries, or damages caused by events beyond our control, including but not limited to political unrest, natural disasters, strikes, or acts of terrorism. Any additional costs incurred due to these events are the responsibility of the client.

Zen Eco Travels reserves the right to alter itineraries, substitute accommodations, or cancel tours if necessary. Should we cancel a tour, clients are entitled to a full refund of payments made.

Certain activities on our tours require caution, such as trekking and visiting historical sites. While our team will assist, these activities are undertaken at your own risk.

Zen Eco Travels may modify these terms and conditions without prior notice.
